Checklist: 10 Things to Do Before Your Holiday Catering Season Starts

From office parties to family gatherings, the stretch between Thanksgiving and New Year's is the busiest - and least forgiving - time of year for caterers. A slicer that drags or a grinder that overheats in mid-December costs you more than a repair bill. Run through this list now, while you still have room in the schedule.

  1. Sharpen every blade. Slicer blades, grinder plates and knives, cutter blades. Dull edges tear product, slow your line, and make motors work harder.
  2. Inspect gears, belts, and seals. Listen for grinding or rattling, and look for leaks, worn gaskets, and cracked guards. Order replacement parts now - supplier lead times stretch in November.
  3. Deep-clean and sanitize everything. Break machines down completely and get into the spots daily cleaning misses. Food-contact surfaces in continuous use should be cleaned and sanitized at least every four hours.
  4. Check your cold chain. Confirm walk-ins, reach-ins, and transport coolers are holding 41°F or below. Calibrate your thermometers while you're at it.
  5. Test at full volume. Don't wait for your first 300-guest order to find out a machine can't keep up. Run a realistic batch on each piece of equipment.
  6. Build your prep timeline backward. Map out what can be sliced, ground, portioned, or par-baked ahead, and what has to happen day-of.
  7. Find your bottleneck. If one machine limits the whole operation, now is the time to add capacity - not the week before a 400-person event.
  8. Retrain your crew. Seasonal hires and returning staff both need a refresher on safe operation, cleaning procedures, and lockout before they touch a blade.
  9. Stock spare parts and consumables. Extra blades, plates, gaskets, and lubricant on the shelf turn a shutdown into a ten-minute fix.
  10. Review your equipment budget before December 31. Equipment purchased and placed in service before year-end may qualify for a Section 179 deduction on this year's taxes. Talk to your accountant.
